Parker Ryan Training collects and processes personal information as required to process training and to provide compliance support and guidance.  

We are registered with the Information Commissioner (ICO) as a ‘Data Controller’ for the purposes of the Data Protection Act 2018 and the General Data Protection Regulation (GDPR) and are subject to the requirements of both. This means that we are responsible for the collection and processing of your personal information.  We may also act as a ‘Data Processor’ under instruction from another Data Controller with whom we have a contractual arrangement, such as an employer for whom we are providing training services.

The type of personal information we collect 

The personal information we collect will depend on what training services we are delivering for you and may vary depending on the awarding bodies we use. We currently collect and process the following information:

Address, Phone number, Email, Date of Birth, National Insurance Number, Drivers Licence details and next of kin if the information if required by the awarding body. 

We may also need to collect certain special categories of personal data. These special categories of personal data are Ethnicity, Disability/Medical Conditions, Gender, Sexual orientation, Language, Nationality, Country of Birth, Religious beliefs. We will only collect and process this type of information if it is necessary for the performance of our contract with you, and we will only do so if we have your explicit consent.   You may withdraw your consent at any time by contacting us at info@prtrainingltd.co.uk.  Please be aware though, that withdrawal of consent may mean that we are unable to provide the service.  We may ask you to signify your consent.

For our Course Programmes we may also record, for example, Attendance, Feedback, tracking progress, Assessments, workplace, complaints, compliments and special requirements e.g., Academic Support if requested.

How we get the personal information and why we collect and use this information

We collect this information from you directly or from the organisation sponsoring the training such as your employer.

We use your information to fulfil our obligations to you and any contract we have with Government Agencies, so we can deliver your training and meet our statutory obligations.  

Most of the personal information we process is provided to us directly by you by telephone, email, text or face to face, for one of the following reasons listed below:

  • Interact with you and provide information on our training course
  • Send information and answer any enquires that you may have
  • Deal with any concerns or feedback that you may have
  • Support your on-going learning/training requirements and provide progress reports
  • Assess our quality standards for delivering training 
  • Deal with any grievances/concerns  
  • Conform with the law which requires us to share data 

If you decide not to share your personal information with us, or decide against giving us permission to contact you, we will be unable to assist you with our training services.

Who do we share information with?

We have a statutory obligation to share your personal information with some organisations or to provide and fulfil our training services and contracts. This is done with your consent or if required by law. We will only share information with third parties if there is a legitimate business requirement i.e., Registration/Certification.

We may share this information with certain Awarding Bodies:

Scottish Qualification Authority (SQA)

Driver and Vehicle Standards Agency (DVSA)

National Logistics Training Consortium (NLTC)

Road Transport Industry Training Board (RTITB)

The Chartered Institute of Logistics and Transport (CILTUK)

Local colleges we have a current contract where we are their supplier of training  

Internet Use

The use of internet and the transmitting of information is generally not entirely secure. If you decide to communicate with us in this way, we cannot guarantee the data security and it will be at your own risk. By using the internet to engage with us you therefore agree and acknowledge this. 

We also receive your personal information indirectly when you interact with us, such as your name, email and contact number from the following sources: –

Website, Email, Facebook, WhatsApp, Twitter and LinkedIn.

We use this information to provide you with details of your course/training enquiry.  The information we receive if you use social media platforms will depend on the privacy preferences you have set and the privacy policies of each platform. 

Marketing

With your permission and/or if permitted by law, we may also use your personal data for our marketing purposes, which may include contacting you by email, telephone, text message and/or post with information, news, and offers about our services. We engage with third party platforms such as Mailchimp to send marketing and advertising materials.  You will not be sent any unlawful marketing or spam. The opportunity to opt-out is provided.

Lawful Basis on which we use information

Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information are:

  • Processing your data necessary for the performance of a contractual obligation
  • To comply with a legal obligation
  • To perform a public task
  • There is a legitimate interest.

Data Retention

We will retain your personal information for as long as is necessary for the purpose for which it was collected, or for other essential purposes, such as complying with our training contract with you, fulfilling our contract with local colleges, our legal obligations, resolving any disputes, and enforcing our policies. At the end of the specific retention period, your data will either be deleted completely or anonymised so that it can be used in a non-identifiable way for statistical analysis and business planning. Course enquiry information will be held for 6 months and if no response will be destroyed. Otherwise, progressed data will be kept for a up to 6 years after which time it will be destroyed.

Your data protection rights

Under data protection law, you have rights which may be restricted if they impact the rights of others or if we are constrained by legal obligations.

Under most circumstances these rights are:

Your right of access – You have the right to ask us for copies of your personal information. 

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you from the date of making a request in writing. We may ask for clarification and proof of identity and address.
